Service & Quality Control

How we check and coordinate ground services before, during and after a tour

CHINATOURDMC PARTNER POLICY

How Does ChinaTourDMC Control Service Quality?

Quality control begins before a booking is confirmed and continues until the group has completed its services in China. Our purpose is to make sure that the proposed itinerary is practical, the confirmed suppliers understand their responsibilities and operational changes are addressed promptly.

We do not define quality only by hotel category or vehicle type. Timing, route logic, communication, guide performance, meal coordination and the handling of small operational details all affect the traveler’s experience.

1. Itinerary Review Based on Real Operating Conditions

We review each program against actual destination conditions and operating experience. This includes travel time, attraction opening arrangements, walking requirements, transfer connections, meal timing, luggage movement and the pace suitable for the group.

If a requested schedule is unrealistic or creates unnecessary operational risk, we explain the issue and propose a workable adjustment before confirmation.

2. Supplier and Service Checks

Suppliers are selected according to the needs of the booking, their ability to provide the confirmed service and their operational record. Depending on the program, checks may cover:

  • Hotel location, room arrangement and group-handling requirements
  • Vehicle capacity, luggage space and the use of appropriately licensed vehicles and drivers
  • Legally licensed guides with the required working language and relevant destination experience
  • Restaurant capacity, menu suitability and confirmed dietary requirements
  • Ticketing deadlines, attraction reservation procedures and transport connections
  • Venue, activity and special-interest service requirements

Supplier selection is booking-specific. A supplier used successfully for one type of group may not be suitable for another group with different timing, accessibility, language or service requirements.

3. Pre-Tour Operational Confirmation

Before arrival, our operating team reviews the confirmed itinerary and follows up on the services needed for delivery. The review may include final group numbers, rooming, arrival and departure details, guide and driver assignments, meal instructions, ticket status and special requirements.

Relevant operational information is shared with the personnel responsible for the service. Where a matter is still pending, it is tracked until confirmation or an agreed alternative is available.

4. Coordination While the Group Is Traveling

During the tour, guides, drivers, local suppliers and the ChinaTourDMC operating team coordinate the confirmed arrangements. If traffic, weather, transport changes, attraction controls or another local condition affects the schedule, we assess the available options and communicate with the group leader or overseas partner when a material decision is required.

An operational adjustment should protect the main content and service standard of the program as far as reasonably possible. Confirmed sightseeing should not be replaced by unapproved shopping or commercial activities.

5. Handling Service Issues

When a service issue is reported, we first verify what has happened, identify the responsible supplier and determine what can be corrected during the tour. Practical resolution takes priority while the travelers are still in China.

Depending on the situation, this may involve correcting an instruction, replacing or supplementing a service, adjusting timing, arranging an alternative or escalating the matter to a senior operating contact.

6. Post-Tour Review

Feedback from the overseas partner, group leader, travelers and operating personnel is reviewed after the tour where appropriate. Repeated or material issues are recorded and considered when making future supplier and operating decisions.

Not every disruption is within the control of a DMC, but communication, documentation and the response to a problem remain important parts of service quality.

What Should Partners Tell Us Before Confirmation?

Accurate information helps us apply the right controls. Partners should tell us about the group profile, preferred service standard, mobility considerations, dietary requirements, school or corporate rules, branding instructions and any service that is particularly important to the success of the program.
