How Are Tour Cancellations Handled?
China travel arrangements often require advance financial commitments to hotels, transport providers, ticketing platforms, venues, guides, cruise companies and other suppliers. Cancellation charges therefore depend on when the booking is cancelled and which costs have already become non-refundable.
The cancellation terms stated in the confirmed quotation, booking confirmation, service agreement or contract apply to the individual booking.
Cancellation Must Be Submitted in Writing
The overseas partner or confirming party shall send written cancellation notice to us. The cancellation takes effect when our team receives the notice during normal working time in China. A notice received outside normal working time may be recorded on the following working day.
A verbal message given only to a guide, driver, hotel or local supplier does not cancel the booking.
What May Be Included in a Cancellation Charge?
Where booking-specific charges have not been stated, deductions will reflect reasonable costs arising from the cancellation, which may include:
- Non-refundable hotel deposits or room charges
- Issued air, rail or cruise tickets
- Venue, event or specialist-activity deposits
- Guide and vehicle commitments
- Admission tickets and permits
- Administrative, bank or payment-processing charges
- Other supplier costs already incurred for the booking
We will ask suppliers to reduce or waive charges where reasonably possible. Any reduction remains subject to the individual supplier’s decision and conditions.
Third-Party Supplier Rules
Hotels, airlines, rail operators, cruise companies, venues and other suppliers set their own cancellation deadlines. Some reservations become non-refundable immediately after confirmation, while others remain partly refundable until a stated date.
We cannot return an amount retained by a third-party supplier under the conditions applying to the confirmed reservation.
What Happens When the Group Size Is Reduced?
A reduction in traveler numbers is not necessarily a cancellation of the full booking. However, it may change the cost for the remaining travelers because the group may enter a different price category or fixed operating costs must be divided among fewer people.
The revised calculation may include changes to room allocation, vehicle size, guide costs, complimentary places and supplier charges for released services. We will provide the partner with a revised price.
Can the Tour Be Amended or Postponed?
Before cancelling, the partner may ask us to check whether the arrangements can be amended or moved to new dates. This depends on supplier availability, seasonal pricing, ticket restrictions and the notice provided.
Postponement does not automatically transfer every payment to a new booking. Any supplier credit remains subject to that supplier’s validity period and conditions.
How Is a Refund Calculated?
Where a refund is available, the calculation is generally based on the payments received, less non-refundable supplier costs, services already provided and applicable banking or processing costs. The remaining recoverable balance is the refundable amount.
We will provide an explanation of the principal deductions where appropriate.
How Is an Approved Refund Processed?
An approved refund is normally returned to the original paying party unless another arrangement is agreed in writing. Processing can begin after the relevant suppliers have confirmed their charges and returned any recoverable funds.
International banking times are outside our direct control. Exchange-rate differences and bank charges may cause the amount received to differ from the original payment.
No-Shows, Early Departure and Unused Services
A refund is not normally available when a traveler fails to arrive, arrives too late, leaves the tour early, voluntarily declines an included service, lacks the required personal documents, or is denied boarding or entry for reasons connected with personal documentation or conduct.
We will still check whether any unused supplier service is recoverable, but recovery cannot be guaranteed.
If ChinaTourDMC Cannot Provide a Confirmed Service
If a material confirmed service cannot be provided for a reason within our operational control, we will offer an appropriate alternative or refund the recoverable value of the affected service.
Minor timing changes, route adjustments, attraction substitutions and operational modifications required by local conditions do not normally constitute cancellation of the entire booking.
Circumstances Outside Reasonable Control
Travel may be affected by severe weather, natural events, public-health measures, transport disruption, government action, attraction closure, civil emergency or other circumstances outside the parties’ reasonable control.
Refunds or rescheduling in these circumstances depend on amounts recoverable from the suppliers involved. ChinaTourDMC will assist with local coordination and seek to limit avoidable losses, but cannot guarantee reimbursement of non-refundable third-party costs.
Booking-Specific Terms Take Priority
Every program has different suppliers, deadlines and operating conditions. The cancellation and refund terms in the confirmed quotation, booking confirmation, service agreement, contract or agreed amendment therefore take priority over this general website policy.
