How Does ChinaTourDMC Protect Partner and Traveler Information?
ChinaTourDMC receives information from overseas travel agencies, tour operators, schools, companies, group leaders and individual travelers in order to prepare and operate travel services in China. We treat this information as confidential and use it only for relevant business communication, booking administration and confirmed travel operations.
We do not sell traveler or partner information. We do not use passenger contact details to approach a partner’s clients directly with competing offers or unrelated marketing.
What Information May Be Required?
The information required depends on the services requested. It may include:
- Partner company name, business contact details and billing information
- Traveler names, nationality, date of birth and passport information
- Arrival, departure, rooming and transport details
- Dietary restrictions, allergies, mobility requirements and other service needs
- Emergency contact information
- Information contained in enquiries, quotations, itineraries, contracts and operational correspondence
We ask partners to provide only information that is necessary for the requested service and to ensure that traveler information is accurate and supplied through an appropriate channel.
Why Do We Use This Information?
Information may be used to design an itinerary, prepare a quotation, confirm accommodation and transport, issue tickets, register hotel guests, reserve attractions, coordinate meals, assign guides, arrange permits where applicable, respond to an emergency, process payments and meet relevant legal or administrative requirements.
Passport details are required for certain hotel registrations, domestic transport tickets, attraction reservations and other services that require verified traveler identification.
Who May Receive Necessary Traveler Information?
We share only the information reasonably required by the supplier or organization responsible for a confirmed service. Depending on the booking, this may include:
- Hotels and accommodation providers
- Licensed guides, vehicle operators and drivers
- Airlines, railway ticketing services and cruise operators
- Attractions, activity providers, venues and restaurants
- Insurance or medical-assistance contacts when authorized or required during an emergency
- Relevant authorities where disclosure is legally required
Receiving suppliers are given the information needed to perform their part of the booking. They are not authorized by ChinaTourDMC to use it for unrelated promotion.
How Are Partner Quotations and Contracts Treated?
Partner enquiries, itineraries, prices, quotations, contracts and commercial arrangements are treated as confidential business information. They are not disclosed to another travel company except where the partner authorizes disclosure or it is necessary to complete an agreed service.
Where ChinaTourDMC operates on a white-label basis, our team can follow the agreed partner branding in guide introductions, group signs and operating communication. Our personnel and suppliers must not distribute competing offers, private sales material or unrelated promotional content to the partner’s travelers.
How Do We Limit Access?
Access is limited to staff members and relevant suppliers who require the information for quotation, booking, finance, coordination, emergency support or service delivery. We use reasonable administrative and technical measures to reduce unauthorized access, loss, alteration or disclosure.
No method of electronic transmission or storage can be guaranteed as completely risk-free. If we become aware of a material information-security issue affecting an active partner booking, we will assess it and communicate with the affected partner as appropriate.
How Long Is Information Kept?
Information is retained only for as long as reasonably necessary for tour operation, financial records, dispute handling, legal obligations and legitimate business administration. When it is no longer required, it may be securely deleted, anonymized or archived with restricted access.
Requests to Review or Correct Information
A partner or traveler may contact ChinaTourDMC to request correction of inaccurate information or ask how information connected with a booking is being handled. Some records may need to be retained where required for contracts, accounting, security, dispute resolution or legal compliance.
Privacy-related enquiries may be sent to us via email. To protect the traveler, we may need to verify the identity or authority of the person making the request before releasing or changing information.
