How Does a ChinaTourDMC Booking Work?

These conditions explain the general process used when ChinaTourDMC arranges services for an overseas agency, tour operator, school, company, association or other organization. Each group also receives booking-specific documents. If those documents contain different terms, the booking-specific terms apply.

1. Sending the Service Requirements

To prepare an accurate proposal, we normally require the travel dates, destinations, estimated group size, rooming arrangement, hotel standard, transport needs, guide language, meal requirements, planned activities and any accessibility, dietary, religious, educational or operational needs.

2. Reviewing the Proposal and Quotation

The quotation identifies the services included in the price. Depending on the request, these may include hotels, vehicles, guides, meals, admission tickets, domestic transport, activities, meetings or event services. A service that is not listed as included should not be treated as part of the quotation.

Rates are based on the stated dates, group size, rooming arrangement, service standard and supplier conditions available when the quotation is prepared.

3. Checking Availability

A quotation does not reserve hotels, vehicles, guides, trains, flights, venues or attraction tickets. Availability and prices may change before confirmation, particularly during public holidays, major events and peak travel periods.

If a quoted service is no longer available, we will explain the available alternative and any price difference before proceeding.

4. Confirming the Booking

A booking is normally confirmed after the partner accepts the final proposal or agreement, we reconfirm availability, and the required deposit or initial payment is received.

Some services require immediate or full advance payment, including certain flights, train tickets, cruises, specialist activities, event venues, permits and non-refundable hotel reservations. They cannot be secured until the required funds and traveler information have been received.

5. Deposits and Payment

The applicable deposit and payment schedule is stated in the booking documents. It may vary according to the travel dates, group size, supplier requirements and services being reserved.

  • Payments must be received by the stated deadlines.
  • Bank charges and currency-conversion costs are borne by the paying party unless otherwise agreed.
  • Suppliers may release a reservation if payment is late.
  • Late payment may change the price or availability of previously confirmed services.

6. Providing Traveler Information

The overseas partner must provide accurate information within the required timeframe. This may include names matching travel documents, passport details, dates of birth, nationality, rooming lists, transport details, dietary restrictions, mobility requirements and emergency contacts.

Additional costs or disruption caused by late, incomplete or inaccurate information are the responsibility of the partner or traveler concerned. Personal information is used only for relevant booking, ticketing, coordination and operational purposes.

7. Requesting Changes After Confirmation

Requests to change the dates, number of travelers, hotels, rooms, transport, meals or activities must be submitted in writing. A requested change takes effect only after we confirm it in writing.

  • Supplier amendment or cancellation charges may apply.
  • The group price may need to be recalculated.
  • Previously available services may no longer be available.
  • Complimentary-place arrangements may change.
  • The payment schedule may need to be revised.

When the group size decreases, the per-person price may rise because fixed guide, vehicle and operational costs are shared among fewer travelers.

8. Passports, Visas and Entry Documents

The partner and travelers are responsible for checking that their passports, visas, permits and travel documents meet the applicable requirements. When agreed, we may provide supporting documents connected with confirmed land arrangements. Providing support documents does not guarantee approval by the relevant authority.

9. Travel Insurance

Travelers should hold comprehensive international travel insurance suitable for the journey, including appropriate medical, emergency, cancellation, disruption, personal-property and repatriation coverage. Our travel agency insurance does not replace individual travel insurance.

10. Operational Adjustments

Weather, traffic, attraction closures, transport changes, government controls or safety considerations may occasionally require a reasonable adjustment. As a China tour operator, we will coordinate with the overseas partner or group leader and seek to preserve the main content and service standard of the confirmed program.
