When people travel in China, occasionally passports or travel documents may be lost. Although this is rare, we share with you our preventive advice and the steps to take if such a situation occurs.

Before traveling to China, we strongly suggest that you remind your clients to save photos of the passport main page and the Chinese visa page on their mobile phones, or carry photocopies of these important documents and treat these as valuables.

In China, most historical sites and tourist attractions require advance reservation and real-name registration. Visitors must present valid identification to enter, meaning people should carry their passports at all times. After using the passport for check-in at train stations, airports, hotels, or on-site ticket verifications, please keep the passport safely. Our tour guides will regularly remind tourists to safeguard their passports.

If a passport is lost, to avoid disruption of travel plans, please immediately inform our tour guide. Our staff will help retrace possible locations where the passport might have been lost. If it cannot be found after efforts, the guide will assist the client to report the loss at the nearest police station, explaining the situation. The police will issue a written receipt of the report. This report is crucial as it invalidates the lost passport and is needed for further procedures.

We assist visitor in taking the police report receipt to the nearest China Boarder Exit & Entry Administration of  Public Security Bureau to apply for a “Confirmation of Reporting the Loss of Passport.” Tourists need to present a copy of the lost passport and fill out the application form. The processing time is about 24-48 hours to receive the written confirmation and the loss certificate.

We assist clients to contact the embassy or consulate of their home country in China to apply for a temporary or replacement passport according to the embassy’s instructions.

What We Do When a Passport Is Lost

When a visitor loses their passport, our tour guides will immediately help the guest to retrace where it might have been lost, assist in reporting the loss to the nearest police station, obtain an official report, and notify our office right away.

We have the duty and responsibility to promptly inform you of the factual situation and action we take in handling the problem.

If the loss and subsequent reissuance of documents may delay the itinerary, we inform the guest immediately and, based on the situation, make flexible adjustments to the remaining travel plans to minimize disruptions to sightseeing and activities during the trip in China.

Should there be any expenses arising from the loss and replacement of travel documents, we assist guests in promptly contacting their insurance company to report the incident and help secure receipts and documentation so they can claim insurance reimbursement upon returning home. This helps reduce their financial loss to the minimum.

After handling such cases, ChinaTourDMC will provide your company with a detailed written report outlining the incident and the measures taken, ensuring transparency and smooth communication at all times.

ChinaTourDMC’s commitment to professional China tour ground service hosting, caring, and transparent service, giving you confidence that your valued clients will be well supported in the event of any emergencies in China.
