How We Managed a China Group Tour for a European Partner

ChinaTourDMC handling land tour service for a European group to travel across 6 destinations.

We have just supported a group of 44 guests from Europe, travelling through Beijing, Xi'an, Zhangjiajie, Guilin, Shanghai and Shenzhen. The programme combined historical sightseeing, natural landscapes and modern cities, with ground arrangements covering transportation, English-speaking guides, accommodation and scheduled transfers.

Highlights

  • Inter-city transportation by bullet train in China
  • Authentic Chinese meals during the tour featuring local cusine
  • Beijng: Great Wall of China, Forbidden City, Tian'anmen Square
  • Xi'an: Terracotta Warriors, City Wall, Muslim Street Market
  • Avatar mountains in Zhangjiajie, Li River cruise in Guilin, and the modernity of Shanghai

Client Requirements

The overseas travel partner needed local ground arrangements for 44 travellers visiting Beijing, Xi’an, Zhangjiajie, Guilin, Shanghai and Shenzhen.

The programme combined cultural sightseeing with visits to natural landscapes and major cities. Arrangements included private transportation, English-speaking guides, accommodation, attraction admissions, specified meals and scheduled transfers.

With six destinations on the itinerary, the main requirement was to coordinate local services while allowing sufficient time for inter-city travel, hotel check-ins and daily sightseeing.

The Challenges

Managing Coach Boarding and Luggage for 44 Travellers

Moving 44 people together required suitable vehicles, luggage capacity and organised hotel pickups. Daily departures also needed to account for boarding times and the group’s sightseeing schedule. Vehicle capacity, luggage space and hotel access are also part of our group transportation and service checks before a tour begins.

Coordinating Travel Between Six Destinations

The itinerary covered Beijing, Xi’an, Zhangjiajie, Guilin, Shanghai and Shenzhen. Coordinating transport and sightseeing across these destinations required careful planning.

Transport connections had to be considered alongside hotel arrivals and sightseeing times. For example, after the high-speed train journey from Beijing to Xi’an, the group had time to freshen up at the hotel before attending an evening show.

Maintaining Partner Branding During Local Services

As the local ground handler, ChinaTourDMC also needed to maintain the overseas travel partner’s visibility during local services, including clear identification of the group’s transportation.

How ChinaTourDMC Managed the Tour

Private Coaches and Hotel Transfers

At Crowne Plaza Xi’an Guangcheng, the 56-seat coach was positioned under the hotel entrance canopy. Guests boarded close to the hotel while staff loaded luggage into the underfloor compartment. This avoided roadside boarding and provided a convenient pickup point for the group.

Local Guides and Sightseeing Arrangements

English-speaking guides supported the scheduled sightseeing activities. In Xi’an, the guide welcomed the group as they boarded the coach for their visit to the Terracotta Warriors.

In Beijing, the programme included Mutianyu Great Wall, with a return cable car journey, and photo stops at the Bird’s Nest Stadium and Water Cube.

Xi’an’s sightseeing covered the Terracotta Warriors Museum, Ancient City Wall and Grand Tang Dynasty Ever Bright City.

The wider journey also included Zhangjiajie’s sandstone mountain landscapes and Guilin’s limestone hills and river scenery.

In Shanghai, the group visited Yu Garden, Jade Buddha Temple, the Old Town and Nanjing Road. The Shenzhen programme included Futian CBD, Lianhuashan Park, Shekou Sea World and the Shenzhen Bay waterfront.

Rail Travel, Hotels and Meals

The Beijing–Xi’an journey included second-class high-speed rail travel, with time at the hotel before the evening programme.

The accommodation arrangements documented for Beijing, Xi’an, Shenzhen and Shanghai included Beijing Sofitel Hotel, Crowne Plaza Xi’an Guangcheng, Crowne Plaza Suites Shenzhen Futian and Renaissance Shanghai Yu Garden Hotel.

Meals were included where specified, along with bottled drinking water and wet tissues during tour activities. Hotel buffet footage also records one of the dining arrangements prepared for the group.

Partner Branding During Local Services

The overseas travel partner’s sign was displayed in the windscreen of the private coach.

This helped travellers identify their transportation during hotel departures while maintaining the partner’s branding during local services.

The Outcome

The group travelled through six destinations in China, with full range ground arrangements supported by ChinaTourDMC, including group transportation, local guides, accommodation and sightseeing services.

For the overseas travel partner, photographs and videos provide a clear example of how the local arrangements were carried out on the ground, including practical support for a large group and visible partner branding.

What This Case Means for Overseas Travel Agencies

For a 44-person group, the ground arrangements extend beyond sightseeing reservations. Vehicle capacity, hotel access, luggage handling and local communication all need to be considered before each departure.

In this project, the Xi’an coach operation provides a documented example of these arrangements in practice. The local team handled vehicle positioning, luggage loading and guest boarding, while the overseas partner’s sign remained visible on the coach.

For travel agencies planning similar groups, these are details worth confirming with a local DMC before the tour begins.
